Terms of Service

Last updated: 24 October 2026. Effective: 24 October 2026 (see Section 15)

1. Agreement

These Terms of Service ("Terms") govern your use of AutomaDoc ("Service"), a document automation platform developed by PT Karunia Solusi Informatika ("Provider," "we," "us," or "our"). By installing, signing up for or using the Service, whether through a platform you connect it to (such as Microsoft 365, Google Workspace or Lark) or directly, you agree to be bound by these Terms.

2. Service Description

AutomaDoc generates documents from your templates and your data. It works with the platforms you connect (Microsoft 365, Google Workspace and Lark) and with your own systems through its API. Key features include:

  • Document generation from your data, such as Excel workbooks, SharePoint lists, Dataverse tables, Google Sheets and Lark Base records, where available, using Word, Excel and PowerPoint templates (.docx, .xlsx, .pptx)
  • Add-ins and add-ons for the platforms you connect, such as Microsoft Excel and Word and Google Sheets, where available
  • A template designer for building Word templates in the browser
  • Variable placeholders with field mapping
  • PDF conversion
  • Dynamic image replacement from the pictures and attachments in your data
  • Bulk generation with ZIP download, and single documents combining many records
  • Documents generated from Lark Approval requests
  • Saving documents back to the platform the data came from, such as a SharePoint list item, a Google Sheets row or a Lark attachment field (Starter, Business and Pro)
  • Webhook notifications, HTTP triggers and status fields (Business and Pro)
  • Filling templates from your own systems through the document API (all plans)
  • Electronic signature of generated documents (all plans)
  • AutomaDoc Sign: sending PDF, Word, Excel and PowerPoint documents for electronic signature, signing a document yourself, a certificate of completion for each signed document and a public page to check one (all plans)

3. Plans and Pricing

The Service is offered on the plans below. Current prices are on our Pricing page.

3.1 Free Plan

The Free plan includes limited document generation (30 documents/month), 2 templates, and 1-day document retention. Free plans use shared server resources. Accounts created before 14 October 2026 keep their previous generation allowance and features until 16 November 2026. From that date they have the allowance above, together with a one-time pack of 1,000 documents valid for 12 months (Section 3.4).

The monthly allowance is shared by everyone in your organization who does not hold a seat (Section 3.2). Generation on the Free plan is rate limited and may wait before it starts. Documents generated on the Free plan may carry a small "Generated with AutomaDoc" line, except as described in Sections 3.2 to 3.4. The document API is available on the Free plan; documents made through it count against the monthly allowance and then against prepaid document packs (Section 3.4).

3.2 Starter and Business Plans (per seat)

Starter and Business are sold per seat. A seat is assigned to one named user in your organization, and its benefits apply to that user only; users without a seat remain on the Free plan. An app administrator of your organization assigns seats and may reassign them. The number of users holding a seat cannot exceed the number of seats paid for.

  • Starter: for the seat holder, unlimited documents generated by hand, no wait before generation, no "Generated with AutomaDoc" line, and saving documents back to the platform the data came from (such as a SharePoint list item, a Google Sheets row or a Lark attachment field).
  • Business: everything in Starter, plus HTTP triggers, webhook notifications and status fields, and 20,000 automated documents per seat per year. Automated documents are those generated without a user starting them, such as by an HTTP trigger, through the document API or from an approved Lark Approval request. The yearly allowance runs from the start of your organization's oldest active Business seat and renews on that date. Automated documents beyond it are counted against the Free plan allowance and then against prepaid document packs (Section 3.4).
  • An organization with at least one active seat may use up to 10 templates.
  • Seats do not change document retention, which stays as on the Free plan (Section 3.1). 7-day document retention and priority support are part of the Pro plan (Section 3.3).

3.3 Pro Plan

The Pro plan covers every user in your organization and includes unlimited document generation, up to 10 templates, 7-day document retention, priority support, and advanced features like auto-save and webhooks.

3.4 Prepaid Document Packs

  • A document pack is a one-time purchase of a fixed number of document generations. Packs are used only after your organization's Free plan allowance for the month, and for automated documents any Business allowance, has been used.
  • A pack is valid for 12 months from purchase. Generations not used within that period expire and are not refunded. Where you hold more than one pack, the pack that expires first is used first.
  • While a pack you purchased has generations remaining, documents are generated without the "Generated with AutomaDoc" line.
  • A pack may be refunded only while none of its generations have been used, under our Refund Policy.

3.5 How Approval Documents Are Counted

A document generated from a Lark Approval request is counted once per request, however many times it is sent again. Up to 20 test documents per organization per day (UTC) are not counted; further tests that day are counted like any other document.

3.6 Payment

  • Subscriptions are billed in advance: Pro monthly, quarterly or annually, and seats monthly or annually
  • Prepaid document packs and other one-time purchases are paid in full at purchase
  • Prices are exclusive of applicable taxes
  • We accept payment via bank transfer or approved payment methods
  • Online purchases are made on our website and processed by Paddle, our merchant of record. You buy the Service from us through Paddle, not from Microsoft, Google or Lark, and those platforms do not bill you for it
  • Refunds are not provided for partial months of service

4. Account and Access

4.1 Account Creation

An account is created when your organization first uses the Service: when someone first signs in with Microsoft, Google, Lark or an email address, or when AutomaDoc is installed from the Lark App Directory, where those methods are available. You sign in with your existing account on the platform you use, or with a one-time link or code sent to your email address; we do not set or store passwords. An account belongs to your organization (such as a Microsoft 365 organization, a Google Workspace domain or a Lark tenant), or to you alone when you sign up with an email address or a personal Google account.

4.2 Subscription Term

Pro and seat subscriptions continue until cancelled. You may cancel at any time; access continues until the end of the current billing period.

4.3 Account Termination

  • You may terminate by uninstalling AutomaDoc from the platforms you connected it to, or by asking us to close your account at contact@automadoc.cc
  • We may suspend or terminate accounts that violate these Terms
  • Upon termination, your templates, generated documents and AutomaDoc Sign documents will be deleted after 30 days. Download any signed documents you need to keep before you close your account

4.4 Platforms You Connect

The Service connects to platforms operated by third parties, such as Microsoft 365, Google Workspace and Lark. Your use of those platforms remains governed by their own terms. Their operators are not parties to these Terms, do not sell the Service and are not responsible for it. Where your organization's administrator must approve AutomaDoc's access to a platform (for example, admin consent in Microsoft 365), you are responsible for obtaining that approval. The Service acts only with the access you or your administrator grant, and you can withdraw it at any time.

4.5 Communications

By creating an account you agree that we may send you service messages about your account and the Service, by email or through the platform you sign in with (for example, as a message from the AutomaDoc app in Lark). You cannot opt out of service messages while you have an account, because they concern your use of the Service and our agreement with you. Optional messages (product updates, and offers and events) are described in Section 3.1 of our Privacy Policy, and you can stop them at any time.

5. Acceptable Use

You agree not to:

  • Use the Service for any illegal or fraudulent purpose
  • Generate documents containing illegal content or content violating third-party rights
  • Attempt to reverse engineer or access the Service's source code
  • Interfere with or disrupt the Service's operation
  • Share account credentials or resell access without authorization
  • Exceed usage limits through automation or abuse
  • Send signature requests or emails through the Service that are unsolicited, misleading or fraudulent, or that pretend to come from another person or organization

6. Electronic Signatures

6.1 What Kind of Signature This Is

The Service collects signatures in two ways: by sending a document generated with the Service to be signed by link (Section 6.2), and with AutomaDoc Sign, which also signs documents you upload (Section 6.3). Both record an electronic signature with an audit trail. Neither provides a certificate-based digital signature of the signer, a qualified electronic signature (as defined, for example, in the European Union's eIDAS Regulation) or a certified electronic signature made with a certificate from a licensed certification authority.

Under Indonesian law (Law No. 11 of 2008 on Electronic Information and Transactions, as amended, and Government Regulation No. 71 of 2019), a signature made with the Service is an uncertified electronic signature (tanda tangan elektronik tidak tersertifikasi). An uncertified electronic signature can have legal force and legal effect when the conditions of that law are met, but it carries less evidential weight than a certified electronic signature made with a certificate from an Indonesian electronic certification provider (PSrE), and some government services and transactions accept only certified signatures. Other countries have their own rules.

Some documents cannot be signed electronically, or only with a certified or qualified signature, under the law that applies to them. Depending on the country, these can include wills and other testamentary documents; deeds that must be made before a notary or another public official, such as Indonesian notarial deeds and land deeds; transfers of land and other real property; powers of attorney that must be notarised; marriage, divorce, adoption and other family-law documents; court orders, pleadings and other court documents; negotiable instruments; and notices that the law requires to be given on paper. Do not use the Service for such a document unless you have confirmed that the law allows it.

You are responsible for deciding whether an electronic signature is appropriate and legally sufficient for your documents and in your jurisdiction, for the people you invite to sign, and for sending each signing link, password and access code only to the person it is meant for. Anyone who holds a signing link (and its password or access code, where one is set) can sign in that person's place. The Service records what happened, as described below; it does not verify who a signer is.

6.2 Signing Generated Documents

On every plan, documents generated with the Service can be sent to people to sign by link. The Service records each signer's typed name and signature, the time they signed and their IP address, and adds them to the signed document as an audit page.

6.3 AutomaDoc Sign

AutomaDoc Sign lets you upload a PDF, Word, Excel or PowerPoint document, or use a document generated with the Service, place fields on it, and send it as a signature request to the people who must sign it: by email, by a message to a colleague on a platform you connect (such as Lark), or by a link you share yourself. You can also sign a document yourself ("Sign it myself"). When everyone has signed, the Service produces the signed PDF and a certificate of completion listing each signer's name, email address, the times they agreed, viewed and signed, their IP address and browser, and a fingerprint (SHA-256 hash) of each document. Anyone may check whether a PDF matches a completed request on our public verify page; the file is checked in their browser and is not uploaded.

  • Your documents and your signers. You are responsible for the content of the documents you upload and send, for having the right to send them, and to share the personal data they contain with the people you send them to; for the people you choose as signers and the email addresses you enter; and, where it matters, for confirming a signer's identity. A signer is identified only by what the request records: that they used the link sent to their email address or to their account on a connected platform, a link you shared yourself (the certificate says so), or the access code you set.
  • Access codes. You may protect a signer's link with an access code. Give the code to the signer by a different channel from the link. After 5 wrong attempts the link is locked. Access codes are stored only as a one-way hash, so we cannot tell you a code you have lost.
  • Emails. Invitations, reminders and notices about a request are sent by us on your behalf, show your name, and are set so that replies go to your email address where you have one. Send requests only to people who expect them or have a legitimate reason to receive them. Every email lets its recipient report it to us.
  • Pricing. Sending a signature request from the Company Portal uses one document from your organization's allowance (Sections 3.1 and 3.4), however many documents and signers it contains; it is included for the holder of a Starter or Business seat and on the Pro plan. A request sent through the API counts as one automated document (Section 3.2). A request made only of documents the Service generated for you costs nothing extra the first time each document is sent. Signing a document yourself is free on every plan. A request is counted when it is sent, and is not given back if it is declined, voided or expires.
  • Limits and suspension. Sending is limited to protect recipients, more tightly on the Free plan and in an account's first day. We may pause an account's sending, or suspend or close the account, if we reasonably believe it is used for spam, phishing, fraud, impersonation, harassment or another unlawful purpose, or after its emails are reported. Where recipients need protecting we may do so without notice; we will tell you what we did and why, and you can ask us to review it at contact@automadoc.cc. A paused account can still open and download its documents.
  • Retention. The signed documents, certificate of completion, original files and audit trail of a completed request are kept until you or an administrator of your account delete them, or your account is closed (Section 4.3). They do not follow your plan's document retention. Page images and signature pictures used while signing are deleted 30 days after a request is completed (the signatures remain in the signed document and certificate). The files of a request that was declined, voided or has expired are deleted 90 days after it closed, and drafts left unchanged for 30 days are deleted. When files are deleted, the record of the request and its audit trail (names, email addresses, times, IP addresses and document fingerprints) are kept as evidence of what happened, and the verify page can still confirm a signed document. Keep your own copy of every signed document you need.
  • Service providers. Emails about signature requests are sent through Cloudflare's email service, and documents are stored on Cloudflare R2. Documents are prepared and signed PDFs produced on servers we operate at Hetzner in Germany. See our Privacy Policy, Section 10.

7. API Access

  • Templates can be filled through the document API and the HTTP trigger using API keys. API keys belong to your organization and are secrets: keep them out of public code and share them only with systems you trust. Anyone who holds a key can generate documents on your account, and those documents count against your allowance.
  • Revoke a company key you no longer use, or that may have been exposed, in the Company Portal. You are responsible for activity made with your keys until they are revoked.
  • API use is subject to the rate limits described in our documentation. The Service is shared by all customers: you agree not to use the API in a way that degrades it for others.
  • We may limit, suspend or revoke a key that is used abusively, that exceeds the limits persistently, or that appears to be compromised, and will tell you when we do.

8. Your Content

8.1 Ownership

You retain all ownership rights to your templates, the data you connect or send to the Service, and generated documents. We do not claim any ownership over your content.

8.2 License to Provide Service

You grant us a limited license to process your templates and data solely to provide the Service. We do not use your content for any other purpose.

8.3 Responsibility

You are responsible for the content of your templates and generated documents. You must ensure you have the right to use any content included in your templates.

9. Data and Privacy

Your use of the Service is also governed by our Privacy Policy, which explains how we collect, use, and protect your data. We implement industry-standard security measures including encryption in transit and at rest.

10. Service Availability

We strive to maintain high availability but do not guarantee uninterrupted service. Scheduled maintenance will be announced in advance when possible. We are not liable for downtime caused by factors outside our control, including issues with the platforms you connect, such as Microsoft 365, Google Workspace or Lark.

11. Intellectual Property

The Service, including its design, features, and underlying technology, is owned by PT Karunia Solusi Informatika. These Terms do not grant you any rights to our trademarks, logos, or other intellectual property.

12. Disclaimers

THE SERVICE IS PROVIDED "AS IS" WITHOUT WARRANTIES OF ANY KIND, EXPRESS OR IMPLIED. We do not guarantee the accuracy or quality of generated documents. You are responsible for reviewing all output before use. We are not responsible for errors in your templates or data that result in incorrect documents.

13. Limitation of Liability

TO THE MAXIMUM EXTENT PERMITTED BY LAW, OUR TOTAL LIABILITY SHALL NOT EXCEED THE AMOUNT PAID BY YOU FOR THE SERVICE IN THE THREE MONTHS PRECEDING THE CLAIM. WE SHALL NOT BE LIABLE FOR INDIRECT, INCIDENTAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES.

14. Governing Law

These Terms are governed by the laws of the Republic of Indonesia. Any disputes shall be resolved through good faith negotiation. If negotiation fails, disputes shall be submitted to the courts of South Jakarta, Indonesia.

15. Changes to Terms

We may update these Terms from time to time. Material changes will be communicated through the Service or via email at least 14 days before taking effect. Continued use after changes take effect constitutes acceptance of the new Terms.

This version of the Terms takes effect on 24 October 2026. For accounts created before 14 October 2026, its changes to the Free plan's allowance and features take effect on 16 November 2026 (Section 3.1); until then those accounts keep their previous allowance and features. New features, such as AutomaDoc Sign, are available under these Terms from 24 October 2026.
